General



This feature is used to annotate or highlight PDF images or files opened in the Document Viewer.  Clicking OPEN ANNOTATION EDITOR will allow users to annotate documents directly in LEP. Documents that have previously been annotated outside of the Lexbe eDiscovery Platform (LEP) may be manually uploaded to a case by clicking UPLOAD MANUAL ANNOTATION.  This feature is not available for Read-Only or Limited Users.  

Making Annotations in LEP

Attorneys and others doing case review may highlight and create text notes in the PDF version of files without affecting the original document.  F
rom the Browse or Search pages, click on the title of the document to be annotated, navigate to the Annotation section under the Doc Tab and click the OPEN ANNOTATION EDITOR hyperlink.

The message "Annotation images are being created" will be displayed from the Annotation Editor page. Refreshing the current page will safely open the annotation images. From there, users can choose to either highlight a portion of the document or add a text annotation. 

To add annotation text simply use the mouse to draw a gray box around the area to be annotated. This will open the 'Edit Annotation' dialog box. Users can add custom text in the Annotation Text field and select a highlight color for the annotation background from the Highlight Color dropdown menu. 


 
Clicking SAVE ANNOTATION will mark the annotation on the document. 


To highlight a portion of the document without adding custom text, select the area of the document to be highlighted using the mouse to draw a gray box around the area. Again, the 'Edit Annotation' box will appear. NOTE: To apply a highlight, the 'Annotation Text' box must be empty. Select a highlight color from the dropdown menu, and click SAVE ANNOTATION to apply the mark the highlight on the document. 


Multiple highlights and annotations can be added to a document before permanently applying the annotations. Once all annotations have been applied to the document, click APPLY at the top of the Annotation Editor to permanently affix the annotations. 


After clicking APPLY, the Annotation Editor will close and the user will be taken back to the Document Viewer and should see the note 'Annotation PDF is being created' in yellow at the top right of the Document Viewer. The amount of time it takes LEP to create the Annotation PDF depends on the size of the document being annotated and the number of annotations applied. When completed, the ANNOTATION tab will display in the Document Viewer and will show the annotated version of the document. 



Upload Document Manually Annotated or Highlighted

Users can also upload PDF files that have been annotated/highlighted outside of LEP with Acrobat Pro or another desktop annotation tool by clicking UPLOAD MANUAL ANNOTATION in the Annotation Editor. If annotated document versions of the same file already exist, uploading a new annotated PDF will overwrite existing annotated documents. See Manual Annotation for more information.

Working With Annotated and Highlighted Documents

From the Browse and Search pages the user can display the built-in field IsAnnotated and apply the Show Annotated Only filter to view only the annotated version of the documents.

Download Annotated and Highlighted PDFs

Users may also choose to download Annotated documents to a Briefcase for use during depositions, cross-examinations, etc. Once the annotated documents have been selected, users can use the 
Download Briefcase feature to download and print annotated documents from the Search, Browse, and Document Viewer pages.

The
 downloaded briefcase will include a sub-folder titled ANNOTATED in addition to ORIGINALS, PDF, and REDACTED (if applicable).



Which Version will be in my Production?

The non-annotated/non-highlighted PDF version will be included in productions under the PDF, IMAGES, and TEXT sub-folders.
