This feature is used to annotate or highlight PDF images or files opened in the Document Viewer.  Documents that have previously been annotated outside of the Lexbe eDiscovery Platform (LEP) may be manually uploaded to a case.  This feature is not available for Read-Only or Limited Users.  

Making Annotations in LEP

Attorneys and others doing case review may highlight and create text notes in the PDF version of files without affecting the original document.  F
rom the Browse or Search pages, click on the title of the document to be annotated, navigate to the Annotation section under the Doc Tab and click the Open Annotation Editor hyperlink.

The message Annotation images are being created will be displayed from the Annotation Editor page.  Refresh the current page to see if the images are done being created. 

Select the area to annotate by using the mouse to draw a gray box around the selection.  This will automatically open the Edit Annotation box.  Enter a custom message in the Enter Annotation Text field and the select a color for the note.This message may be saved, deleted or canceled.  Once the text or graphic has been entered, click Save Annotation. 

Review the final annotation and click Apply Current Annotation to save.  Refresh the page to create the final Annotated PDF version.  Close the Current Annotation Editor and the Document Viewer tabs.  Wait for the queue to complete the task. It can take several minutes to generate 
an annotated image, especially if working with a large PDF.

When completed, the Annotation tab will display the annotated version in the Document Viewer.  The document can be viewed without annotation from the Page, PDF, and Original tabs. Once the annotation is applied to a document, it goes back into the queue. It is not possible to add further annotation until the current one has been applied.  

Highlighting Text in PDF document

To highlight a portion of an image in a PDF document, repeat the same steps from above without inserting text as follows:  Select the area to highlight by using the mouse to draw a gray box around the selection.  This will automatically open the Edit Annotation box.  Do not enter Annotation Text.  Select the desired highlight color. Save the annotation.  Once the text or graphic has been saved, click Save Annotation and the area selected will display in yellow highlight

Working With Annotated and Highlighted Documents

From the Browse and Search pages the user can display the built-in field IsAnnotated and apply the Show Annotated Only filter to view only the annotated version of the documents.

Download Annotated and Highlighted PDFs

Use the Download Briefcase feature to download and print annotated documents from the Search, Browse, and Document Viewer pages.

 downloaded briefcase will include a sub-folder entitled Annotated in addition to Originals, PDF, and Redacted (if applicable).

Which Version will be in my Production?

The non-annotated/highlighted PDF version will be included in productions under the PDF, TIFF, and TEXT sub-folders.

Upload Document Manually Annotated or Highlighted

The user may upload PDF files that have been annotated/highlighted outside of LEP with Acrobat Pro or another desktop annotation tool by choosing the Upload Manual Annotation button.  If annotated document versions of the same file already exist, uploading a new annotated PDF will overwrite existing annotated documents.
