Control Numbers

General

Control numbers are a unique string of consecutive numbers.  They are similar to Bates numbers (sequential and can be printed on documents) and can be automatically assigned after a batch upload in the Lexbe eDiscovery Platform (LEP) (read-only value).  

Purpose

Control numbers simplify the tasks of organizing documents, assembling document issues, and maintaining the project document review before Bates stamping is applied to a production.  They are document specific, meaning the same control number is applied to the entire document.  

Assigning Control Numbers 

After all uploads in the queue have been completed, Expand Control Numbers drop-down and click "Assign to Case Docs" button.




Once document control numbers have been added to the files, LEP will automatically check to ensure the numbers are not duplicated.  If control numbers are added to subsequent batches of files, LEP will start where the last control number left off.  This avoids the possibility of two users creating the same document control number at the same time.  There will be only one control number created and viewed after the document has been added to the case.  Each document control field has a unique string of numbers across the entire case. 

Processing Time

Applying control numbers is not instantaneous. For a small case, it should complete within a few minutes.  For a very large case, the process of assigning control numbers could take a couple of hours.  Track the download progress of control numbers by following the Progress Bar (displayed in the upper-right corner of every page in LEP).

Showing the Association of Email Messages and Their Attachments

Control numbers will order email attachments after the email body for MSGs and can be filtered and sorted with attachments to emails nested after the email, then filtered by Doc Type from the Browse page.  The result will be an ordered list of email parents followed immediately by the attachment children.



Deleting Batches

Do not delete Batch titles from the Case->Add Case Documents page until Control Numbers have been applied (if needed).  The ability to apply control numbers to the documents uploaded from specific batches is lost if the batch has been removed from the upload page.

Export to Excel

From the Browse and Search pages, select documents and the Control Number column to export to an Excel spreadsheet. The Excel log generates a report that can be filtered and sorted for further analysis in Excel. LEP
 supports the two most recent versions of Excel for Excel integration (2010 and 2013).
