This technical note sets forth a process for migrating documents from Net Documents to the Lexbe eDiscovery Platform (LEP).

Exporting Documents from Net Documents

When migrating data from Net Documents to LEP we recommend exporting native versions of each document to maintain any associated metadata when processed into LEP. As such, the following steps will result in documents being downloaded from Net Documents in native format.

When logged into Net Documents, click Matters which is located as a menu item at the top of the page, followed by Recent. A list of matters will populate on the screen. Select the applicable matter by clicking on the matter name/number. The matter workspace will open and users will land on the Documents tab by default. Users can download files via individual selection, or by clicking into existing folders and selecting all of the documents it contains. The Download option is not available when selecting a folder before it has been opened. For efficiency, users could copy all documents for download into a single folder; however, this step is not necessary. 

Downloading Files

To download one or more individually selected files in a matter, use the above instructions to navigate to the Documents tab in the matter workspace. Click on the folder titled WS Folder and a list of the documents and folders saved to that matter will populate. Check the box next to each document you wish to download, click on the More option in the upper right corner, and then click Download. If more than one document is selected, a zip file containing only those documents will be generated.

To download an entire folder of documents, follow the above instructions to access the WS Folder. Click on the applicable folder name to open the folder and display all the documents contained therein. Users can then select all documents in the folder, click on the More option in the upper right corner, and then click Download. A zip file containing only those documents will be generated for download locally. When prompted to download the zip file, we suggest renaming the zip to match that of the folder in Net Documents for organizational purposes; however, this step is entirely at the discretion of the user.

Uploading Exported Documents to Lexbe

The following describes the suggested workflow for uploading documents to Lexbe.

Uploading Documents (Not Productions)

Users can upload the downloaded zip file, folders, or individual documents into LEP via drag and drop. To start an upload, go to the Case menu and select Add Case Documents. From this page, users can create upload batches, run deduplication, add control numbers, etc. To create a new upload batch, click on + New Upload, populate the fields as desired, click Next, and then upload documents via drag and drop into the upload window. Please note, documents uploaded as part of a zip file or in folders will maintain their folder structure which is memorialized in the Source File Path metadata field.

Uploading Productions

Due to how LEP processes productions, we recommend that any exported productions containing loadfiles be uploaded to LEP in their own batch separate. To start an upload, go to the Case menu and select Add Case Documents. To create a new upload batch, click on + New Upload, populate the fields as desired, click Next, and then upload the production via drag and drop into the upload window.
